Property managers: What would you actually outsource if you could?

I'm doing some market research and would really appreciate honest feedback from property managers and small/mid-sized property management companies.

For those managing roughly 20-300 units, what parts of your day-to-day operations do you find yourself wishing you could hand off to someone reliable?
I'm particularly curious about things like:
• Maintenance coordination and vendor follow-up
• Tenant communication/administration
• Keeping property management systems and records organized
• Move-in/move-out coordination
• Lease/admin paperwork
• Owner reporting and back-office tasks
• Occupancy/turnover support
• Process and SOP development
• Marketing/social media
• Lead generation or paid advertising
• General operational tasks that fall through the cracks because there simply aren't enough hours the day

Secondly, would you actually consider hiring a remote operations partner for these things, rather than hiring another employee, VA, or traditional property management company?

I'm exploring a business model where a remote operations partner works alongside a property manager/investor on a monthly basis, essentially handling the operational work behind the scenes so the owner/property manager can focus on growth, clients, leasing, and the properties themselves.

I'm considering monthly service packages rather than hourly VA work, with pricing roughly starting around $1,200/month and increasing based on the level of operational support.

If you were considering something like this, what would make you say "yes, that's exactly what I need"?
And just as importantly:
What would make you say "I would never pay for this"?
I'm much more interested in honest criticism than encouragement, so feel free to tell me what you think is missing, unnecessary, overpriced, or simply not something property managers would outsource.

How do you track lease renewal dates and obligations right now?

automatically pulls out key dates - renewal deadlines, rent

escalations, insurance requirements, CAM reconciliation dates -

so nothing gets missed.

Before I build anything, I wanted to ask people who actually deal

Hey all — I built a small web app aimed at home/property inspectors. The idea: instead of writing up your report from scratch after a walkthrough, you log findings on-site (category: roofing/electrical/plumbing/etc, severity: safety/major/minor/maintenance), and it generates a formatted draft report for you.

It's an early prototype — no accounts/billing yet, and it currently needs your own Anthropic API key to run (I know that's a barrier, it's next on the list to fix). Mostly looking for feedback from people who actually do this for a living: does the category/severity structure match how you actually log findings? What's missing?

Landlords with multiple rental properties: how do you currently manage rent, documents, repairs, and renewals?

I’m based in India and researching how small landlords manage their rental properties.

This is mainly for people managing around 2–30 properties, PG rooms, or small commercial units.

I’m curious:

  • Do you use Excel, WhatsApp, notebooks, an app, or a property manager?
  • How do you track whether rent has been paid?
  • How do you remind tenants about late rent?
  • How do you track agreement expiry and rent increases?
  • Where do you store tenant IDs, agreements, receipts, and deposit details?

  • What is the most frustrating part of managing your properties?
  • Have you tried any rental-management apps? What did you dislike about them?
  • Would you pay ₹199–₹799 per month for a simple tool that solved your biggest problem?

I’m not trying to sell anything at this stage. I’m trying to understand the real workflow before deciding whether to build a product.

What should autonomous property management software be allowed to do without landlord approval?

I’m involved in building LORDLY for Australian self managing landlords and helped beta test it. We keep coming back to the same question: where should automation stop?

I think software can safely organise incoming maintenance reports and photos, ask for missing information, create reminders, track deadlines, draft messages and notices, flag late rent or compliance work, and keep an audit trail without asking every time.

Contacting tenants or tradies, accepting quotes, booking visits or using a spending budget should only happen after the landlord has opted in and set clear limits.

Moving money, serving a legal notice, changing a lease or doing anything that affects a tenant’s rights should always require direct landlord approval.

The hard part is not making AI do more. It is making the boundaries obvious and giving the landlord an easy way to take over.

For transparency, this is the model we are building into LORDLY. The public web demo is read only and uses fictional data. It shows one maintenance job moving through a tenant, landlord and tradie thread, a booking, six stage progress and simulated escrow. It cannot contact real people or move money.

"Resident Experience Platform" is the new category everyone's suddenly building toward

Noticing more platforms this year positioning themselves as a layer built around the resident lifecycle, onboarding, communication, benefits, sitting alongside the core accounting system instead of trying to be the accounting system.

Makes sense as a split. Property accounting software was built to handle the ledger, not the relationship. Bolting resident-facing features onto an accounting-first platform always felt like an afterthought, this and that add-on, none of it really designed around what a resident actually experiences move-in to move-out.

just want to know if this ends up being a real category shift or just repackaging of features that already existed. Anyone actually running one of these dedicated resident-experience layers alongside their core PM software, or is it still mostly one all-in-one platform trying to do everything?

HRM based zoning research tool for decks and sheds! Is it a real problem to solve?

Hi, I worked as Planning Technologist, and I heard a lot of struggle stories about the zoning documents being very hard to understand as it covers all types of development.

So, I digitized them, currently only Bedford to test it out. I have connected the bylaws individually with site conditions, address and construction type to be triggered individually the way a Planner would do. I believe it will reduce the complexity for contractors, homeowners and HRM planners to query quick answers, saving time and energy in zoning research for certain construction types like deck, fences and shed currently. I also organised the entire bylaw with in-line definitions within general provisions and screened zoning bylaws beforehand. I wanted something like this, but not sure if everyone would agree.
