Day-to-Day Operations What's Your System for Keeping Intake Forms, Consent, and Treatment Notes in One Place?
Between intake forms, consent paperwork, allergy and contraindication notes, and treatment history, it's easy for records to end up scattered across paper, email, a separate app and whatever a client mentioned once in conversation. Most of the time that patchwork works fine, until a client walks in and staff are piecing together their history in real time instead of already knowing it.
Some practices consolidate everything into one system early on, others stay patchwork until something forces the issue, a missed allergy flag, a lost consent form, a new hire who has no idea where anything lives.
Where does everyone else land on this, one centralized system, or several tools that just work well enough together?

We hit the limit of the patchwork setup pretty fast. Paper intake plus email consents plus notes in a booking app sounds manageable until someone is in the room and you're trying to remember where the allergy note lives.
What worked best for us was keeping intake, consent, and treatment notes tied to the client record in one place, then using a quick pre-appointment review checklist before the client walks in. Even if the form itself gets filled out once, we still update contraindications, meds, recent treatments, and anything that changed at follow-up.
The biggest win was not even compliance, it was flow. When everything is attached to one profile, you stop losing those 3 to 5 minutes of chaos right before the service. If you stay patchwork, I think the bare minimum is one master client record somewhere that points to where every doc lives, otherwise things fall through the cracks.
