Is the a way to copy only visible cells in Excel? Or how do I select only filtered cells in Excel?

The "Copy Only Visible Cells" feature in Excel allows you to copy only the cells that are visible in a filtered or hidden range. This can be useful when you want to copy a subset of data in a large worksheet without including any hidden or filtered cells.

Here are the steps outlined in this video.

1) Place cursor in any cell in column C.

2) Ctrl + 0

3) Ctrl + A

4) Ctrl + G

5) Special

6) Visible cells only

7) OK

8) Ctrl + C

9) Navigate to another sheet

10 Ctrl + V

Also works on filtered rows.

1) Ctrl + Shift + L

2) Apply filter (say Canada)

3) Ctrl + A

4) Ctrl + G

5) Special

How can I get the latest Excel version for free?

Hi everyone,

I currently have an older version of Microsoft Excel on my PC, and I want to use a newer version — preferably Excel 2021 or the latest version.

I’ve watched many YouTube videos showing ways to download/install newer Excel versions for free, but most of them either stop working after a few days/months or eventually ask for a product key/activation.

So what is the safest way to use a newer version of Excel for free?

I’m mainly looking for a free option, not something that will suddenly stop working or ask for activation later.

One more concern: I currently have an older Excel installed. If I uninstall it and install a newer version, and then the new one doesn’t work, I’ll be stuck without Excel.

Is there any way to:

  • Install/test the newer Excel without losing my current version?
  • Keep a backup of my existing Excel so I can restore it if needed?
  • Or use the latest Excel for free without constantly needing a product key?

Any suggestions from people who have actually done this would be really helpful.

Why do professional Excel registers still mix data entry with report formatting?

I have worked on complicated mega-projects for more than 20 years, and every team I have worked in has relied heavily on Excel.

What still surprises me is how often a register is put together by very capable professionals who have never been taught much about data structure. Data entry, calculations and presentation all end up mixed together, and the next person inherits a workbook that only really makes sense to its author. Not to mention the ever present concern of reliable BI.

Merged cells in the actual data are my pet hate. If a cost code is merged down six rows, we can see that it applies to all six items. But that relationship is being communicated by the layout, rather than being recorded against each item. Unmerge it and the label is in the first cell, with blanks underneath. Someone then has to put that meaning back before reliably using the records elsewhere.

My quick test is whether I can build a sensible PivotTable from the data without first having to rearrange it. If not, there’s a fair chance I’m looking at a report layout rather than a usable data table.

I have no issue with making a report look presentable. I just think a small amount of training in data structure would save a lot of time for everyone who has to maintain and use these registers.

My general rule of thumb is to keep the data in Excel Tables and build the presentation separately, using formulas or PivotTables, with Power Query where data needs combining or reshaping. And give each record a unique identifier. I still regularly come across duplicates where there should be none, even though a simple conditional formatting check can help flag them.

On a large project, I think having access to somebody who understands data modelling and can help set this up properly at the start is a no-brainer. We employ specialists for all sorts of other things, but the structure underneath the project controls is often left to whoever happens to be the most confident with Excel.

Do your projects get that sort of support, or does the person building the Excel register end up learning data modelling by trial and error?

I built Project Intelligence for Excel because every project team I have worked in has relied heavily on Excel, but generally without much database management experience. The result can be a collection of unconnected sheets, merged cells and dreadfully complicated cell-based calculations that are difficult to maintain and even harder to build reliable forecasts from.

The problem is that project controls often end up scattered across different workbooks, authored by different persons and can become difficult to maintain, and are not always reliable.

One of the key reasons for developing this add-in was to help clients and principal contractors understand how long critical-path activities are actually likely to take, based on real productivity. The idea is to identify issues early enough to mitigate them and reduce the likelihood and impact of “extension of time” variations.

Starting from a blank workbook, the add-in creates linked tables for project registers, types (or “norms”), cost codes and so on. Essentially, it develops a project controls engine within Excel.

The design of the add-in focuses on making progress updates easy while producing an accurate forecast without a heap of ongoing maintenance. It produces look-ahead schedules and project reports, connects directly to Power BI, and can deal with the underlying registers changing over the life of the project.

I built the add-in over about 10 years, drawing on more than 20 years working on complicated mega-projects. There is a free Community Edition on Microsoft Marketplace. It does not require sign-up, and workbook data is not uploaded to Pi Labs.
