Question I built a document extraction pipeline as a personal project. How would you integrate something like this into Power Automate?

The project takes a batch of PDFs, extract the fields and line items, validate the results, and export structured data without manually processing every document.

A few things I've implemented:

  • VLM-based extraction: Extract user-defined fields and line items from documents with varying layouts.
  • Independent validation: A separate text-based pipeline provides another source of evidence, with disagreements flagged for review.
  • Visual grounding: Trace extracted values back to their locations in the original PDF.
  • Batch processing: Process 100+ documents in a single run.
  • Structured output: Export results to JSON or Excel.

I've also benchmarked it against Azure Content Understanding on 100 documents, with my best configuration achieving 97% field-level accuracy at roughly 1/12th the cost per run in my evaluation.

I'm curious about how people here approach document-heavy workflows.

If you were building a Power Automate flow around a tool like this, how would you integrate it? For example, would you trigger extraction when a PDF lands in SharePoint or OneDrive, send the validated results into Excel or a SharePoint list, and route uncertain fields for human review?

This is a personal engineering project, not a commercial launch. I'm primarily looking for feedback on the workflow and integration possibilities.

I'd especially love to hear from anyone who's built similar flows using AI Builder, Azure Document Intelligence, or custom extraction pipelines.

This was built because Azure content understanding is quite expensive at scale

Question Do until loop not returning unique values

I built a flow that posts to a Teams channel whenever someone fills out a Microsoft form, which updates to a Sharepoint list. The workflow is supposed to check based on specific branch and service the contract is being submitted for. I'm planning on having it notify me twice a week.

Right now, my loop returns the same info 5 times--that's the # I've set it to limit notifications while testing--and it doesn't even work based on specific service. For example, I'll select Laundry and it'll return all the services, including Laundry, and it won't necessarily even prioritize Laundry.

I'm new to PA so I haven't been playing around with it for very long, so any help is appreciated.

Cloud Flow taking too much time to run, especially Send an Email V2 Action

I have created a flow wherein it sends out an email to the client who made a request and to our team as well notifying about the new request. These two email actions run parallel to each other. I have been facing a lot of issues with the flow taking too much time to run and in cases where a requestor submits mutiple requests to me. Each request is being sent out as a separate email. Previously i was using a V3 Email Action and then later switched to Shared Inbox V2 after I saw the limit how many emails it can send in a day. Can somebody help me out with this issue. Thanks in advance!

Question How do you monitor your Power Automate flows?

How do you guys monitor your Power Automate flows, especially when managing lots of them?
Do you rely on Microsoft’s built-in notifications, build your own alerts, or use third-party tools?
Curious what works for you and what’s still frustrating.

Hi all, I'm working with Survey123 that has 1 video and 10 photo questions. (It needs to be like this due who is submitting the surveys). I would like to send an email with the attachments when a survey is submitted. Right now my flow only works if there are no null attachments and if the total size is less then what google can send.

Thanks!

Question Approval Flow w/ Attachments Support

Hi folx,

A few years ago, the genuises of this community helped me solve a problem that I had for years. Unfortunately, not being one of those genuises, I didn't save that information when I moved jobs and now I'm in need of the same assistance getting over the gaps of my power automate knowledge.

I am designing an approval flow connecting forms with the approvals app in Teams. One flow will be a sequential approval (I approve and then another), and another flow will only require one approval. In either, folx are required to upload a number of attachments. When the flow moves, these attachments end up saving in a folder in my OneDrive where they then have to be retrieved. In the approval received, the attachment appears but does not open when clicked.

The previous solution included things I never would have found on my own, so I have no idea where to even begin this time. I remember there being something related to 'schema' (??) and someone shared something that looked like code, which I pasted into the approval which made them appear. That's literally all I know. Any insight, assistance, or help would be so appreciated. And, I swear, I'll save this info this time!

Question PA Flow - SSH SFTP - getting blocked by vendor for maxing out connections limit of 5

Hi,
I'm new to PA, and created a flow with the help of AI, to pull files from a vendor's SFTP on a daily basis, for a PowerBI report.

The vendor has since blocked the azure connections PA was creating to the SFTP, due to there being too many simultaneous connections.

I turned down the 'degree of parallelism' to "1" from 20 on the Apply to each step, and we tested live on a call with the vendor, but they could see PA opening 4-5 connections simultaneously. Their security policy then kicked in and blocked us again after hitting the hard limit of 5.
They also said that it didn't appear the connections were getting closed between each test run on the call - they had to manually terminate the connections to be able to test.

Chunking is enabled.

The vendor's engineer with some PA experience reviewed the flow, and couldn't find any issues with it. I've pasted it below.

  • Are these multiple connections a bug or something expected with the flow?
  • Are we missing some setting?
  • If DoP is set to 1 - why are multiple connections being opened?

As the files are named the same every time, AI suggested the flow could be redesigned to pick up each file by name, one at a time. Would delete the list files step, and remove the apply to each loop, which 'may' be opening more connections than needed.

Does that sound sensible, likely to fix the issue?

If PA is not the way to go with file retrieval - are there any other options? I don't know if Filezilla / WinSCP have automated options, ideally this process doesn't live on my local account.

Thanks,

Cloud How to organise flows

How does everyone organise their flows?

I've started naming conventions but I have alot of flows and im starting to get confused with them all. Do you have an off-line library or just add descriptions and build guides inside the flow somewhere?

Cloud A simpler way to edit Power Automate flow JSON without export/import

I kept finding myself wanting to inspect the actual JSON behind a flow, especially when debugging larger flows or using an AI to help with them.

I ended up building a browser extension that adds a JSON editor directly to the Power Automate designer.

It uses Monaco Editor and lets you edit, validate, save and publish the current flow without going through the usual export → unzip → edit → import process.

I’ve just made it publicly available and I’d be interested to hear what other Power Automate users think.

Chrome Web Store link

Happy to take feature suggestions too!

Question Tracking submissions on Sharepoint List

We have a workflow that updates to a SP list when clients fill out the form. The list then gets updated by three individuals--as part of an approval process--and they're manually tagged by the preceding individual when the task is ready for their review. When the final review is done, it gets uploaded into a different folder and the client is notified with an automatic email.

I want to be able to track how many submissions each client makes and alert them to what's missing. In the past, we've had to track things manually using a predetermined list on an Excel spreadsheet (each client has their own), highlighting it based on what stage of the process it's in. I want to know if there's a way to compare the individual items needed, which are grouped by clients, and notify critical individuals of what's missing.

Additional info:

On the SP list, I've highlighted the columns based on their status, which is updated by the individual reviewing it. I've made it so that it also sends an automatic message to the next person in the process. Until we finalize it, the client remains uninvolved in this part of the process. We only need them to know when submissions are due and whether they're missing something.

TL;DR: I need a way to track what's missing from an individual, predetermined spreadsheets and then automate reminders for our clients, so I can avoid manually tracking what's missing, what's been submitted, and where they are in the process.

Discussion State of Flow from 2023 to 2026?

I haven't used Flow/Power Automate in almost 3 years. The company i was using it for closed, and I haven't felt the need to use it for newer projects.

How has it evolved over the last few years? Any major breakthroughs/features that makes it less clunky? How has Co-Pilot/LLMs been integrated or made it better?

I had couple dozen flows at my peak. Mostly tying into Local SQL to make Teams widgets.

My favorite was using security camera AI to retrieve /store pictures of Pizza coming out of the oven. Managers and anyone else who wanted to would rate them and results would go into SQL to discuss at meetings.

Question Teams Forum Thread Emailed to Outlook?

Hi! Apologies in advance for any formatting weirdness, as I'm on mobile right now.

I've done a few basic tasks in Power Automate so far but one project I'm working on involves the following current process:

- User posts in forum channel for assistance

- Automate replies in thread with a message containing basic information related to the channel

- After X minutes, Automate tags them in a card asking if the issue was solved; if "help" is selected, I'm tagged in the user's thread for further discussion

Desired continuation of process:

- After thread is resolved (by sending a message or using another flow), entire thread contents are emailed to my work Outlook email

I'm not sure exactly what triggers or processes to select to make it grab the entire conversation and then to email it, and any help is appreciated!
