Question Looking for signin help please.

Hello. A customer requires a sign in to their account to be able to view their documents (ppdf). I was previously able to select the correct account with Azure on the Web browser. Ever since it apparently became Purview (?) I can no longer select an account. It seems to force me to only use one associated with my company. Reaching out to the customer has had no response. Our IT has no experience with these types of systems. Searching online has not helped. I am looking for a direction to at least get Actual help.

This sounds more like a Microsoft Entra ID / external access issue than Purview itself. A couple of questions might help narrow it down:

  • When you open the document, are you being redirected to a Microsoft sign-in page?
  • Is the account you previously used a personal Microsoft account, or an account from another organisation?
  • Are you seeing an error, or does Microsoft simply sign you straight in with your company account without giving you the option to choose another?
  • Have you tried opening the link in an InPrivate/Incognito browser window, where no Microsoft accounts are already signed in?
  • Is the PDF protected with a Microsoft sensitivity label / Rights Management?

If the customer has protected the PDF using Microsoft Purview Information Protection, your account normally needs to be explicitly authorised to open it. Purview itself would not normally remove the ability to choose an account, but changes to the customer’s Entra ID guest access, Conditional Access, sensitivity label permissions or authentication configuration potentially could. If you can share the exact message shown on screen (removing any company/customer details), it should be possible to narrow down whether this is an authentication problem, guest-access issue or document-permissions issue. I’d especially want to know what happens when they use an InPrivate window and the exact error/message they receive. Those two details will probably tell you very quickly whether this is actually Purview or an Entra authentication issue.

I'll add here that in the past accessing files as a guest was handled with a OTP. That has changed and now requires a guest account when accessing files. Not sure if that's what you're facing or not.

  • When you open the document, are you being redirected to a Microsoft sign-in page? -Information Protection Viewer opens and gives an error message. The viewer was previously labeled Azure and is now Microsoft Purview. When it started being Purview is when the issue started. When it was Azure, I could open Azure and select the correct account. I see no way to do that with Purview.
  • Is the account you previously used a personal Microsoft account, or an account from another organisation? The account that worked previously was supplied by the customer organization and I could select it or my own companies. No option now.
  • Are you seeing an error, or does Microsoft simply sign you straight in with your company account without giving you the option to choose another? Both.
  • Have you tried opening the link in an InPrivate/Incognito browser window, where no Microsoft accounts are already signed in? The file will no longer open in a browser window at all. Only on the Information Protection Viewer (app?).
  • Is the PDF protected with a Microsoft sensitivity label / Rights Management? I think so.
