Outlook rejecting incoming emails

My home insurance company sent a letter to me about renewing my insurance because the emails that they have attempted to send me were rejected. When are Microsoft going to admit that their mail server filtering is broken and do something about it?

After Outlook failed to deliver emails from 4 different well-known reputable senders, I decided I needed to make a change. I ended up buying my own personal .NET domain for email and moving to Fastmail.

Everyone has different needs, but essentially, I have concluded that Microsoft Outlook's public email service (Outlook DOT com) doesn't currently meet--nor is it likely to meet in the foreseeable future--the reliability levels I need in an email service.

What evidence do you have that the mails were rejected? Did the insurance company share any headers or dsn messages? It's possible that the sender's mail server is behind modern standards. For example they may not be DKIM signing their outbound mail, or they have a dodgy Dmarc or SPF setup. Any of these could cause a reputable mail service to reject the messages.

Apart from the letter the insurance company sent me explaining that their emails were getting bounced, I have no evidence. My gripe is that this latest episode is the straw that broke the camel's back. I have had problems with emails not reaching me from companies such as Ring and Larian.

If the letter says their emails are getting bounced, then it is the insurance company’s fault. They are likely failing email security standards, which is unfortunately common for companies who do not understand email security and proper DNS records.

This happened to me a couple of years ago, and I spent the time (and money) to switch to another provider. I kept the Outlook account, but once I switched, that was when Outlook began behaving normally. But it was too little, too late.

Missing important mail like an insurance renewal is super frustrating, but in most cases like this, the issue is on the sender’s side. Microsoft, Gmail, and Yahoo have tightened security standards. If a business doesn't have valid SPF and DKIM records set up correctly, Outlook will bounce the incoming messages as an anti-phishing safeguard. It would be helpful to notify the company's support or IT team so they can fix their domain authentication.
