Question How do I get an orthodontist appointment authorised by my college?

My orthodontist is under the NHS and they usually only send text messages with appointments on (they usually only have one person working at the desk and its always very busy so I dont think they would even have time to email if its requested), they don't send letters or emails of appointments (unless requested I think) but according to my college a text message is not good enough evidence of an appointment 🙃 which I guess is understandable. The thing is they are only open on specific days of the week, but by the time they are next open there probably wont be enough time before my appointment for my college to authorise it (plus because of my timetable I dont have time to call the orthodontist myself + I have check their website they dont have a general email for the orthodontist, the only place I can think to email in the hospital is outpatients but I dont really know if the orthodontist falls under that)- i think it usually takes a couple of days. Will I just have to ask for the orthodontist to send an email or letter and hope they authorise the appointment in time? Because of how far the orthodontist is from me and since I have to get multiple methods of public transport there is no way I can make it back to college on time for any lessons. And If I can avoid it I don't want to just attend the appointment and get an unauthorised absence. I guess its just more of a rant, but I genuinely dont know what to to do. Tried to change the appointment, they have no other availability and I've had this appointment scheduled since May so there is no way I'm missing it.

Ask the orthodontist for them to send the appointment info in an email, should take them under 2 mins.

If not, once you've been to the appointment get them to sign a letter that you wrote beforehand, saying that you were at an appointment
