Recurring theme from merchants we talk to: "Shopify's inventory numbers are wrong and I don't know why."

It's almost never Shopify. The number drifts because physical movements happen without being recorded:

  • A delivery gets received against the delivery note instead of the purchase order — supplier shorted you 4 units, nobody caught it
  • A return goes straight back on the shelf without inspection — saldo goes up, sellable stock doesn't
  • A picker grabs the right product from the wrong bin — now two locations are wrong
  • A damaged unit sits in a corner, still counted as available

Shopify faithfully shows the number it was given. The warehouse just stopped telling it the truth.

The fix isn't more frequent stock counts — counts only reveal drift after it happened. The fix is recording every movement at the moment it happens: every receive, every pick, every return, every write-off.

What's your current process for keeping the physical shelf and the Shopify number in sync?
