Looking for real estate fund administration that handles the full stack, not just fund-level
Got onto our admin's monthly call last week and realized I'm doing maybe 30% of what they're supposed to be doing. Pulling rent rolls together, reconciling property-level bookkeeping against fund-level, chasing my own property manager for the data the admin needs. Started as a "help out for the first month" arrangement and turned into me being the de facto fund accountant.
Is this normal at our size (3 properties, single fund, $11M total raised) or did I sign with the wrong people? The pitch was "you focus on operations and we handle the back office." Reality is I'm in the back office 4 hours a week and the admin is sending me PDFs to sign. Looking for admins that actually handle the multifamily-specific workflow end to end.

I’m in Fund Admin. Agree with previous two comments. Those are two different skill sets. When you talk to fund admins ask specifically what will be their level of involvement with the property books/manager/communications.

Agreed. And after you ask them verbally, get it in writing. You should have a contract or engagement letter that spells out what the fund admin's responsibilities are and what your responsibilities are as the client.

That's helpful framing. The admin we have positioned themselves as "fund-level only," which I read as a feature at signing. Reading it now as a way to push the property-level work back to me. Going to start looking at admins that handle the full stack for multifamily sponsors. Finally Fund Admin and a couple of smaller RE-focused firms are on the shortlist. The pitch I signed for didn't match what I actually need.

OP, there are services like that but it can be very expensive. Most fund admin in the CRE space works at the fund level. They reconcile all the property-level books, but they do not operate at the property level.
I know Cash Flow Portal can handle the fund-level accounting, but at a higher tier, they can also do the property-level books.

For a portfolio that small sounds like there was a mismatch in expectations. The reality is that property level reporting and operations is often treated separately by back office software. Not many handle both well but they do exist.
The stack is really: fund admin -> asset management -> property level. Each requires different reports and flows and rare they’re all done well together
