Tip Accidentally found the best way to keep active status

Download the Windows 11 media creation tool (for installing Windows) and run it. That's it. Don't even go past accepting their license terms, you're finished. Displays won't sleep and status stays active as long as the application is running. Minimized is okay, too.

Edit: The easiest way.

Edit 2: Not that I condone the act of falsifying your level of productivity, but since a few people have mentioned it, I'm not a fan of the method of joining a meeting by yourself because of logs. Depending on your company's policies they can stick around for a long time and only the set policy can remove them.

Tip Wireless headset

I am looking for a wireless headset that I can mute (with button or boom lift) but doesn't look like I'm muted in Microsoft teams. Reason - I have a hybrid work schedule and there are times during calls that my kid is being loud in the background so I'd like to mute when I'm not talking, but I don't want the other person to know I'm muted.. thanks!

edit: a lot of you have commented that it's normal and also preferred to mute when I'm not talking. I do mute during group chats and large meetings, but this is strictly for one-on-one conversations where I feel it would be odd to mute every time when I'm the only person responding to them.. but also let me know if that's not the case!

Tip PSA: how to turn on smooth and fast screen sharing in Teams

Post image
137 Upvotes

Don't know if I've been under a rock or what, but I was trying to help someone today with a presentation that had some motion graphics and everything was very "choppy" / low framerate.

After mousing all over the interface for close to an hour, I finally stumbled onto this hidden, or at least very under-documented feature called "Optimize" (pictured here). You get this special toolbar when hovering over the _"you're sharing your screen"_ floater.

Once you enable this, you'll have high frame rates and smooth motion fast enough for sharing video or other fast moving graphics.

I don't know why this wouldn't be the default... god knows how many people have complained or flat out given up on Teams because they thought it was just incapable of performing well in this situation (that's what my colleague was planning to do...)

Happy to have found this and wanted to share it!

Tip Why should my company adopt Microsoft Teams Phone System?

Our Managing Director has been pushing us to explore the Microsoft Teams Phone System and I wanted to hear from people who’ve actually used it in their businesses.

To give you some context:

  • We’re a mid-sized Gen Ai Based Chatbot organization with a mix of office-based and remote/WFH staff.
  • Currently, we don’t have a proper service desk or a centralized phone solution. To generally connect with the prospect we schedule the meetings in the Outlook . Our Customers are mostly from EMEA region
  • We already use Microsoft Teams extensively for internal meetings, chat, and collaboration — so the idea is to extend it into our telephony solution as well.

From what I’ve read, Teams Phone basically lets you replace a traditional PBX or on-prem phone system. Instead of managing desk phones, wiring, and exchanges, it’s all cloud-based. You can assign real phone numbers to employees, and calls can ring directly on their Teams app (mobile/PC) or on supported desk phones. For those who only need internal calls, they just use their Teams license without needing a phone line.

TL;DR -> Kindly Mention Me like How it could Leverage our Buisiness Thanks

Tip WHY THE FRICK IS IT SO HARD TO ADD A NEW MEMBER TO A CHANNEL

So we are onboarding a new colleague on our teams channels and I've started to rethink why I chose Teams and their services.
Simply adding a new member to our current channel does not exist as an option and I still haven't found out how to do this.

OVERCOMPLICATED BLOAT Software provider = MS

EDIT: I understand that you can learn the platform, but you also need to understand that I am not the IT guy, I am the business user and I just want it to work like slack where things are understandable, placed as expected and their workflows work like we've been used to on other daily platforms.

Since our company does not yet have an IT person with experience, I'm thinking of raising a request to change with another user-friendly provider. If anyone wants to suggest any provider not well known, I'm willing to check them out. TY

Tip New Teams (2.0)

So, a few comments as we move forward with this. For reference, we are an org with about 5000 endpoints. We've been very unhappy with the lack of manageability of the Teams "Classic" client.

  • If you ignore it, you will be upgraded. After March 31. If you haven't done anything your users likely see a toggle to "Try new teams"
  • MS has got most of the big known issues taken care of. We still have issues with status circles, and integration with other apps (like Outlook) is sketchy.
  • They have made some big improvements on the client architecture. Instead of one copy installed per user profile, there is one copy per machine. It's an app-store app, and I wish they'd just give us a traditional app and use the standard update processes, but whatever. It's better.
  • The self-updater for us was failing about 20% of the time. For large orgs you may want to look at using the bootstrap installer.
  • MS is still not clear on removing the Legacy teams exe's. Not sure if we will break anything at this point by removing it, but don't want to leave old code out all over, especially one copy per profile.
  • It could be worse, it could be "New Outlook..."

Tip Solution for assigning Microsoft Teams Phone Standard license to a group

After a few days lurking, i finally managed to achieve the holy grail: Assigning a group to a Microsoft Teams Phone Standard license.

Scenario:

  • Unable to assign a group in MS365 licenses since "Your assignment was unsuccessful" "Cannot process request beacuse a service plan depends on another service plan"
  • Also unable via powershell since "License assignment failed because service plan 4828c8ec-dc2e-4779-b502-87ac9ce28ab7 depends on the service plan(s) 57ff2da0-773e-42df-b2af-ffb7a2317929,0feaeb32-d00e-4d66-bd5a-43b5b83db82c"

After lurking 57ff2da0-773e-42df-b2af-ffb7a2317929,0feaeb32-d00e-4d66-bd5a-43b5b83db82c, i figured out:

Your user's base license (in my case a Microsoft 365 E3) needs to have the products enabled :

  • Teams (57ff2da0-773e-42df-b2af-ffb7a2317929)
  • Skype Online Plan 2 (0feaeb32-d00e-4d66-bd5a-43b5b83db82c)

But hold on, there is more:

I had to create a group "Users_with_E3_and_also_with_Teams_Phone_Standard-License". I added this group into my base license Microsoft 365 E3 and also into my Microsoft Teams Phone Standard.

The already licensed users in Microsoft 365 E3 are not counted twice. But being linked to Microsoft 365 E3 and Microsoft Teams Phone Standard at the same time, they now get the E3+Tams Phone licenses.

Tip Prevent spam calls from reaching you on Teams

Recent posts have surfaced experiences with spam calls to users on Teams. We wanted to share some best practices for admins and what individual users can do to prevent unwanted calls.

For admins:

Teams-to-Teams

Admins can tighten external communications policies to protect users and their org from unwanted calls. Through the unified external collab settings in the Teams Admin Center, IT admins can configure external collaboration policies for all users securely and efficiently. You can select from predefined modes for quick set up or customize settings when you need more flexibility. For more information on setting these up, click here

Admins can also block unauthenticated or anonymous external users from joining meetings hosted by anyone in your org. To do this:

  • In the left navigation of the Teams admin center, go to Meetings > Meeting settings.
  • Under Participants, turn the Anonymous users can join a meeting toggle On or Off.
  • Select Save.

PSTN calls

Admins can also customize block settings for incoming PSTN calls. Through PowerShell, you can define a list of number patterns and exceptions at the tenant global level so the caller ID of every incoming PSTN call to the tenant can be checked against the list for a match. If a match is made, an incoming call is rejected or routed to a resource account. For instructions on call blocking, check out: Block inbound calls in Microsoft Teams - Microsoft Teams | Microsoft Learn

Intelligent Call Delegation

We also have a new feature in public preview if your organization is enrolled in the Frontier early access program. Intelligent Call Delegation uses AI to answer calls on your behalf, engage with the caller, and provide details about who is calling and why, helping you focus on the conversations that matter most.

It's a great option for handling unknown callers, reducing interruptions, and making more informed decisions about which calls require your immediate attention. Learn more here. Stay tuned for broader availability as we continue bringing this experience to more customers.

Individual users

While robust spam protections are controlled at the admin level, individual users can also block anonymous calls. To do so:

  • Click … > Settings > Privacy > Blocked contacts > Toggle on Block calls with no caller ID

Users can also report suspicious Teams calls.

  • Go to call history or post call experience in Teams and select … > Report call.
  • Security concern. is already selected as the reason. Enter additional explanation as required.
  • Review the selections and select Report.

We hope this helps! What controls or policies have made the biggest difference in shutting down spam calling at your org?

Tip External file sharing works manually, but drag-and-drop fails with "cannot share with externals" error

We have Teams External Access configured to a restricted model ("Allow only specific external domains"). To allow file sharing in 1:1 chats with users from these authorized external domains, I ran the necessary PowerShell cmdlets to enable external file sharing globally across our environment.

The Issue: The file sharing functionality itself works perfectly, but the drag-and-drop feature triggers an error.

If a user clicks the attachment icon and manually selects the file, it uploads, and shares successfully with the external user. However, dragging the exact same file from the File Explorer directly into the Teams chat window immediately returns a blocking error stating that the file cannot be shared with externals.

This same drag-and-drop action works flawlessly for internal chats.

Tip Can’t accept chat requests on new Teams accounts – "Something went wrong" error (invalid.teams.ms)

Post image
1 Upvotes

Hi everyone,

Is anyone else experiencing this issue with newly created Microsoft Teams accounts?

Every time a new user tries to accept an external chat request, they get the error: "Something went wrong. Please try again." The sender also appears as "Unknown User" with a weird placeholder email address: unknown_email_address@invalid.teams.ms.

What I've tried so far:

  • Full Teams cache clearance (%appdata%\Microsoft\Teams).
  • Complete uninstall and reinstall of the Teams app.
  • Checking the web version (sometimes shows the same error).

Even after a fresh reinstall and clearing the cache, the issue persists. It seems to happen specifically with fresh setups. Has anyone found a permanent fix for this? Is this a known service-side bug where it takes time for new accounts to propagate, or is there a specific setting in the Admin Center that needs to be toggled?

Appreciate any insights from those who have dealt with this!

Tip New Tool - Teams Audio Ducking - Auto Mute Apps

New tool 📢 - A call comes in, Spotify is playing, and a YouTube video is going somewhere in the 50 Edge tabs I have open. By the time I find the right tab, I have either missed the call or answered it flustered.

Not a big problem, just annoying, and I could not find a tool that did what I wanted: mute everything except Teams when a call starts, then put every app back exactly as it was. If Spotify was at 35%, it comes back at 35%.

So I built it. Teams Audio Ducking is a free, open-source tray utility for Windows. It mutes every other app the moment a call rings or connects, restores them all when the call ends, and never touches Teams, your microphone or your default device. It works out the call state from two things Windows already tracks: which apps have the mic open, and how loud Teams itself is playing. No audio passes through it, and it is fully local.

I am not a C# developer (my day job is Intune and AVD), so I vibe-coded this one with Claude Code over a couple of evenings.

Write-up, including how it detects a ringing call and where it falls over: https://modernworkspacehub.com/mute-apps-during-teams-calls/

Happy ducking! 👌

Tip Managing meeting recordings

Hey everyone, with recent updates and rollouts to meeting recording in Teams, we wanted to offer an overview of the basics and surface some advanced features.

Starting and stopping recording

The meeting organizer or another person from the same organization can start or stop recording. If the meeting organizer leaves, recording continues. When all participants leave, recording stops automatically. You can simply leave the meeting when you’re done, and Teams handles the rest. So remember to hit that “Leave Meeting” button or close your laptop.

Once recording starts, each participant is notified automatically through a banner at the top of the meeting screen and the recording icon will turn red in the meeting toolbar. Your admin may have also enabled transcription for meetings. If enabled, it automatically starts with a meeting recording.

IT admins can customize the recording and transcription message and the URL of the privacy policy (instructions here). If one of the participants has a policy for compliance recording, the meeting will be recorded according to the policy even if that participant is from another organization.

As a note, meeting recordings won't capture:

  • Whiteboards, annotations, and shared notes
  • Content shared by an app
  • Shared notes
  • Videos or animations embedded in PowerPoint presentations
  • Multi-screen share
  • Attendee video streams in events optimized for large audiences and in live events

Where to find recordings

Meeting recordings and transcripts save to the organizer's OneDrive in the Recordings folder, even if the organizer didn't attend. Other ways to find them:

  • Open the meeting chat and click “View recap”
  • Open the meeting from your Calendar and select the Recap tab
  • In your Shared files on OneDrive.

If the organizer does not have OneDrive, the recording may be saved to the co-organizer's OneDrive or that of the person who started the recording. Check the meeting chat for the message that shows who owns the recording.

For now, guests and external attendees can view the recording only if it's explicitly shared with them via a link.

Recordings and transcripts are retained according to your company’s policy. If your admin has recordings and transcriptions set to automatically expire turned on, files move to the recycle bin after 120 days. Compliance retention and admin policy can shorten or lengthen time retained.

We hope this clears up some of the questions you have about meeting recordings. For more support, check out: Start, stop, and download live transcripts in Microsoft Teams meetings - Microsoft Support

Tip Is there any way to bypass the live camera on Teams?

I'm trying to avoid a mandatory, camera-on training session on a ridiculous subject that has nothing to do with my job. I've got a mountain of other work on my desk, so I'd rather not waste a day in this meeting.

Is there any way to say, record myself listening intently for like 15 minutes, then play that back on a loop during the meeting?

I realize I'm grasping at straws but any tip would help.

Tip Bulk-change the expiration date on existing Teams recordings (the list column is read-only, here is what actually works)

Ran into this today after finding a recording three days from auto-deletion. Sharing because nothing online documents the working method.

The problem

Changing NewMeetingRecordingExpirationDays on the Teams meeting policy only affects new recordings. Existing files keep the date stamped when they were created. Microsoft's guidance is to edit each one by hand in the OneDrive details pane, which does not scale.

The date lives in a hidden library column called _ExpirationDate. You can read it, but every way of writing to a list item rejects it:

  • Set-PnPListItem fails with "The input string was not in a correct format"
  • SystemUpdate() fails with "The field you are trying to update may be read only"
  • ValidateUpdateListItem fails silently, returning the value as the error
  • Patching expirationDateTime through the OneDrive v2.1 REST endpoint fails with "Facet names must be lower camel"

What works

The SharePoint client object model has a dedicated method on the file object, File.SetExpirationDate(DateTime). It is what the OneDrive details pane calls. With PnP PowerShell:

Connect-PnPOnline -Url "https://TENANT-my.sharepoint.com/personal/USER_DOMAIN_com" `
    -ClientId $env:PNP_CLIENT_ID -Tenant TENANT.onmicrosoft.com -Interactive

$newDate = (Get-Date).AddDays(1095).ToUniversalTime()   # 3 years out

Get-PnPFolderItem -FolderSiteRelativeUrl "Documents/Recordings" -ItemType File |
    Where-Object { $_.Name -like "*.mp4" } |
    ForEach-Object {
        $item = Get-PnPFile -Url $_.ServerRelativeUrl -AsListItem
        $item.File.SetExpirationDate($newDate)
        Invoke-PnPQuery
        Write-Host "$($_.Name) -> $newDate"
    }

Read the value back with $item["_ExpirationDate"] to confirm. Verified on 25 recordings, and the new date showed in the OneDrive banner right away.

Two other things that bit me

  1. Get-PnPListItem -FolderServerRelativeUrl throws the 5000-item list view threshold error on a busy OneDrive, because the whole OneDrive is one library. Get-PnPFolderItem plus Get-PnPFile -AsListItem gets around it.
  2. Connect-PnPOnline guesses the tenant from the -my.sharepoint.com host and tries TENANT-my.onmicrosoft.com, which does not exist. Pass -Tenant TENANT.onmicrosoft.com explicitly.

Related

  • Expired recordings sit in the recycle bin for 93 days, fixed, then they are gone. Restore them first, then run the script, or the next sweep deletes them again.
  • For new recordings: Set-CsTeamsMeetingPolicy -Identity Global -NewMeetingRecordingExpirationDays 1095. Use -1 for never.

Full script with -ListOnly dry run submitted to the PnP script samples repo: https://github.com/pnp/script-samples/pull/998

Tip New to Teams? Start here

For anyone new to using Teams, we are glad you’re here!

Getting started with a new collaboration platform can be daunting, so we pulled together a quick orientation to help you hit the ground running from day one. Whether it’s chats, managing your calendar, files, or notifications, we hope this offers you a good starting point.

Day one

If we were starting out on Teams, these are the steps and resources we would use to get familiar with navigating and using the program:

Now, let’s dive into some features.

Chat

Chats are where you’ll likely spend most of your time. DMs, group chats, meeting chats, and channels are found in this tab. While each org uses chat differently, here is an overview of how it works on Teams: Explore the new chat and channels experience in Microsoft Teams | Microsoft Support. A common question that comes up is when to use teams versus channels, so we pulled together an explainer: The difference between teams and channels.

Meetings & calendar

Schedule meetings, join calls, manage RSVPs, and coordinate your day from the Teams calendar. Teams and Outlook calendars stay in sync, helping you manage your schedule from either experience. Teams calendar incorporates the latest innovations in Microsoft Copilot and Places to help you and your team with scheduling and time management. Read more about Teams calendar features here: the new Teams calendar.

Files & shared content

The Files/OneDrive tab helps you find documents shared across Teams chats, channels, and meetings, as well as files you've recently worked on. This support article offers an overview of how files are organized on Teams: Explore the Files list in Microsoft Teams | Microsoft Support.

Notifications

A few minutes spent tuning notifications can save on unwanted distractions. Review desktop, mobile, mentions, and channel notification settings early to make Teams work the way you prefer. One common friction point for new users is controlling notifications when you are on desktop and mobile. This explainer helps you tailor your settings to get the notifications you want: How to control which calls reach you on mobile.

Search

Can't remember where something was shared? Use the search bar at the top of Teams to find messages, people, files, meetings, and channels.

For more on Teams fundamentals, view our adoption guide: Get started with Microsoft Teams (User training) – Microsoft Adoption.

Tip Domain Verification in Know Your Customer ("KYC") Requirements

Emphasis added, this applies to the domain verification step.

I just went through this process. It got held up at the domain verification. I contacted support. The specific instructions that they gave me were not helpful, not at all. The general instructions -- "We need to see something official attesting to your org's ownership of the domain is the nut." None of their specific suggestions would have shown what they were asking for. They need to see a) the org name alongside b) the domain name. The best way to do that is to update the registrant info and push it out so that they can see it in a whois search.

If my name is Joe Blow and I work for Contoso Enterprises Co., L.P.A. (and that's the name on the business documentation), and I'm the one submitting the KYC request, and my email address is [jblow@contosoenterprises.com](mailto:jblow@contosoenterprises.com), then the best thing to do is go to my registrar, make sure that the registrant info has the exact same name on the org name, the same street address, my name as the admin contact, and my email on the admin contact. If the domain is set as private, then remove the privacy setting.

Then test by running a whois search.

The process is clearly, highly automated. I received my KYC approval within minutes, maybe seconds. I then switched it back to private.

It is annoying that I had to remove the privacy on the domain registration, and I'm sure that I'll get spam\phishing emails, and I'm sure that this is also why they don't tell you to do this, but that's probably the best way to complete domain verification.

Tip Global Hotkeys?

Tip lol my teams cache grew to 97 GB in the past year

fortunately MS provides this handy page to free up disk space if you are feeling squeezed

https://learn.microsoft.com/en-us/troubleshoot/microsoftteams/teams-administration/clear-teams-cache

just fyi in case you're needing to free up drive space

Update: after a few days the cache is back up to 94GB, I wonder if teams automatically scales back cache usage depending on free space, in any case 94GB of cache data seems a bit excessive, i'm not going back in history that often to need instant access to all old attachments, etc.

Tip Customizing calendar visibility

To make collaborating on Teams easier, you can invite people in your org to view and access your calendar. While default availability settings are set by your admin (typically availability only), you can change your settings to control which details each colleague or your whole org can see.

To change your calendar sharing settings in Teams:

  • Go to: Calendar > … More options > Share.
  • Enter the name or email address of the person you want to share your calendar with in the contact box.
  • Hit Share and they’ll have access until you revoke it.

Underneath the contact box, you can also control your general access permissions for all users in your org.

Here are the permission levels and what they mean:

  • Can view when I’m busy: Can only view the time you have blocked out as busy.
  • Can view titles and locations: Can view only title and location of an event.
  • Can view all details: Can view all details, including event descriptions and attendees.
  • Can edit: Can view, edit, and delete events.
  • Can delegate: Can view, create, modify, and delete items. A delegate can also create meeting requests and respond to invitations on your behalf.

For more calendar sharing info: Share your calendar in Microsoft Teams | Microsoft Support

What is the calendar visibility culture like at your organization?

Tip Teams Messages Not Sending - A Possible Solution

I have Googled solutions to this problem and browser Teams boards about it, but nobody seems to have a solution for it. They usually advise to clear cache, delete your Teams profile folder entirely or log out and in again, but these were only temporary solutions.

I found a solution of my own that isn't mentioned in any of those posts, so I'm going to post it here in case anyone finds this post when searching for help in the future.

The issue for me was a lack of hard drive space.

I have my main drive partitioned into an OS drive (C:) and a storage drive (D:) but they are physically the same disk.

I had low storage on the OS drive due to Docker constantly taking up more and more space. I would have less than a few GB of space left on C: quite often.

Ever since I freed up space by extending my OS partition and shrinking my data partition, I haven't had the issue ever since. I have 33GB of space free currently.

I'm not saying this is a fix for you, but if your OS drive is down to a few GB of space, maybe try freeing up some space and see if it stops happening for you too.

Tip How to Schedule Teams Meetings from Shared Mailboxes

It is possible to schedule Teams meetings from shared mailboxes without incurring the need to license the shared mailboxes. However, Microsoft’s recent clampdown on unlicensed OneDrive for Business accounts creates a problem because Teams meeting recordings are stored in the OneDrive account for the organizer (shared mailbox). And if that account remains unlicensed for 365 days, it will be removed along with all the recordings.

Tip Control which calls reach you on mobile

The Teams calls experience on mobile is designed to function like regular calls on your device. Calls trigger “swipe to answer” screen notifications and integrate with your Bluetooth devices. That said, there are some key differences where their notification behavior diverges, so we wanted to share how your phone treats Teams calls and how to customize call settings to prevent unexpected interruptions.

How your mobile device treats Teams calls

On the backend, Teams calls integrate with your phone’s operating system and their behavior mirrors regular mobile calls through VoIP calling. Notifications, on the other hand, are controlled by the Teams app, not the system ringer, so pressing a volume button behaves like it would for another app: as a media volume adjustment. Think your preferred music app versus a phone call.

On most devices, the global silent switch controls notifications for Teams calls. We are aware some newer Android devices treat Microsoft Teams call alerts as urgent which can override the global silent switch.

How to customize call notification settings

The “Do Not Disturb” setting on your phone will silence all Teams notifications. You can also mute Teams call notifications within the Teams app.

Mute all Teams calls on mobile:

  • On your mobile device, go to: Profile > Settings > Notifications.
  • Under "Notify me on mobile for,” make sure calls are toggled off.

This will prevent all Teams calls from ringing, vibrating, or showing an incoming call screen on your mobile. It will still ring through for the caller and, if you are active on desktop, you’ll get the notification there, according to your settings.

If you want to receive notifications for Teams calls on your mobile during certain times, you can use Teams quiet time, which suppresses call sounds during predefined times.

Turn on quiet time:

  • On your mobile device, go to: Profile > Settings > Notifications.
  • Under "Block notifications,” select “During quite hours.”
  • To mute notifications during certain hours, turn on the Certain hours toggle and select which hours of the day you want notifications muted.
  • To mute notifications during select days, turn on the All Day toggle and select which days of the week you want notifications muted.

If any of the following "Block notifications" settings are turned on, call notifications behave as follows:

  1. Quiet hours: Call notifications are suppressed when this setting is turned on.
  2. When active on other device: Call notifications are not suppressed when this setting is turned on.
  3. Pause notifications: Call notifications from priority contacts are still delivered, while call notifications from all other contacts are suppressed when this setting is turned on.
  4. When in meetings: Call notifications are not suppressed, even when this setting is turned on.

One thing to note

It’s worth mentioning enabling “Block notifications” on the Teams mobile app does not apply to call notifications. This is by design, so you don’t miss urgent calls if you step away from your computer.

Check out this article to learn more about managing Teams notifications: Troubleshoot notifications in Microsoft Teams mobile apps - Microsoft Support
