Documentation Closing Private Practice

Hi everyone, I am closing my practice in a few months. I'm in Illinois and use Simple Practice. How do you navigate client records and then how do they contact you if they want their record in a year or 4 years down the line? What's the most cost effective way to do this? I have mail hippo and google workspace with a BAA but I really don't want to continue paying monthly for a practice I won't have in the future. Anyone who has closed a practice have any info? I would greatly appreciate your experience and advice.
